Integration features
  • Complex processes can be initiated directly within Salesforce. 
  • The forms used in the processes can be automatically populated with data exported from Salesforce.
  • Both Salesforce users and non-Salesforce users (like partners, customers, vendors, etc) can participate in the workflows.
  • Data, workflow actions and documents attached to the workflows can be exported to Salesforce.
  • Salesforce users can monitor their workflow actions within the WorkflowGen workflow portal embedded in Salesforce as a custom tab.

Case Study: Sales Quote Process

This case study presents an example of a quote process intiated in Salesforce and run in WorkflowGen. WorkflowGen enables you to build the workflows based on your requirements and business rules. The integration between Salesforce and WorkflowGen is fully customizable.
1- In our scenario the Sales Rep initiates the workflow from the "Opportunities" section by clicking on the "Launch Sales Quote process" custom link.


2- The form is displayed and some pre-defined fields (the Sales Rep and Account details) are dynamically populated from the Salesforce application. The Sales Rep can now fill out the form and attach documents (like the prospect's RFQ). Some mandatory fields must be filled out in order to submit the form.

3- At any stage of the process the participants can display a dynamic graphical view of the ongoing workflow. The current step as well as the entire workflow are displayed.
In this example the Sales Rep submits the completed form to the system that will automatically notify the appropriate buyers in the Purchasing Department depending on the data captured in the form.

4- The buyer fills out the form by adding prices to each items of the quote and then submits the quote to the Sales Rep for approval.

5- The Sales Rep can either accept the quote or ask the buyer to modify it.
If the Sales Rep accepts the quote he will be able to send it to the prospect.
If the deal is closed with the Client the Sales Rep will notify the buyer who will fulfill the order and generate an invoice. The Sales Rep will then send the invoice to the client and close the process.


6- The Sales Rep can display the WorkflowGen workflow portal by clicking on the "Workflow" custom tab and quickly review the status of his requests and the actions he has to do.
During the process some data and documents can be exported from WorkflowGen to Salesforce like the quote and the list of activities.
